Data we collect

From all users

• Full name, username, email address, and phone number.
• Profile information including photo, bio, and location.
• Device information, IP address, browser type, and operating system.
• Usage data — pages visited, features used, session duration.
• Communications sent via the Meetrub chat system.

Additionally from Freelancers

• PAN card number — required for TDS compliance (Section 194-O).
• GSTIN — optional, required for B2B invoicing.
• Bank account details — required for Payment GatewayX payouts.
• KYC documents — government-issued identity proof (Aadhaar, Passport, Voter ID).
• Portfolio samples and service descriptions.

Additionally from Creators

• Billing address for GST invoice generation.
• GSTIN — optional, for claiming Input Tax Credit.
• Payment method information — processed by Payment Gateway, not stored by Meetrub.

How we use your data

• To create and manage your account and provide platform services.
• To process payments, generate invoices, and manage escrow.
• To verify identity (KYC) and comply with tax obligations (TDS, GST).
• To detect and prevent fraud, abuse, and prohibited activity.
• To send transactional notifications — order updates, receipts, system alerts.
• To send marketing communications only with your explicit consent.
• To comply with legal obligations including court orders and government requests.

Legal basis for processing

• Contract performance — processing necessary to fulfil your order or service agreement.
• Legal obligation — tax compliance, KYC verification, law enforcement requests.
• Legitimate interest — fraud detection, platform security, abuse prevention.
• Consent — marketing communications, optional analytics cookies.

Data sharing

• Payment Gateway / Payment GatewayX — payment processing and payouts. Their privacy policy applies.
• AWS S3 / Azure Blob — file storage for deliverables and portfolio assets.
• Email service providers — for transactional and notification emails.
• Government authorities — as required by law (Income Tax, GST Council, courts).
• We do not sell, rent, or trade personal data to third parties for marketing purposes.

Data retention

• Account data retained for account duration plus 7 years for tax and legal compliance.
• Transaction records and invoices retained for a minimum of 8 years (Indian tax law).
• Chat messages retained for minimum 2 years to support dispute resolution.
• KYC documents retained for account duration plus 5 years post-closure.
• Personal data not required by law is anonymised or deleted within 90 days of account closure.

Your rights under DPDPA 2023

• Right to access — request a copy of the personal data we hold about you.
• Right to correction — request correction of inaccurate or incomplete data.
• Right to erasure — request deletion subject to legal retention obligations.
• Right to grievance redressal — raise a complaint with our Data Protection Officer.
• Right to nominate — nominate a person to exercise rights in event of death or incapacity.

Data security

• All data transmitted over TLS/HTTPS encrypted connections.
• Sensitive fields (PAN, bank account) are encrypted at rest using AES-256.
• Access restricted to authorised personnel on a need-to-know basis.
• Regular security audits and vulnerability assessments are conducted.
• In the event of a data breach, affected users will be notified in accordance with applicable laws.
